1. Data Controller

The data controller is ΕΡΑΣΙΤΕΧΝΙΚΟΣ ΣΥΛΛΟΓΟΣ ΤΑΕΚΒΟΝΤΟ ΑΓΙΑΣ ΖΩΝΗΣ (Agia Zoni Amateur Taekwondo Club), a registered non-profit amateur sports club, registration number MOI: ΛΕΥΣ86, Ministry of Interior, Cyprus, with registered offices at Dr. Fazıl Küçük Cd Haspolat 1010, Cyprus. 2. Personal Data We Collect

Membership and enrolment data: full name, date of birth, address, telephone number, email address, guardian details for minors, emergency contacts, belt rank and attendance records.

Health and safety data: medical declarations and injury reports strictly necessary for safe participation, treated as special category data.

Financial data: records of membership contributions, donations and fee-waiver applications, retained for accounting and audit purposes.

Website and correspondence data: information you voluntarily provide through our contact form or by writing to info@AgiaZoniTaekwondo.org, together with basic, non-identifying technical logs required to operate the site securely.

Media: photographs or video from classes, gradings and public events, captured only where consent has been given and withdrawable at any time.

3. Legal Bases for Processing

We process personal data under Article 6 GDPR on the bases of: performance of the membership contract; compliance with legal obligations, including sports registration and accounting law in Cyprus; our legitimate interests in operating a safe club and communicating with members; and consent, where given for photography, marketing or optional communications. Health data is processed under Article 9(2)(a) consent and to protect vital interests.

4. How We Use Your Data

To register and administer membership, arrange grading and competition entries, provide safe supervision, maintain insurance cover, communicate club news and schedules, manage donations and fee waivers, and satisfy statutory reporting obligations as a registered non-profit.

We never sell personal data, and we do not use it for automated decision-making or profiling.

5. Sharing and Transfers

Data may be shared with national and international Taekwondo federations for competition entry and rank registration, with insurers, with medical personnel in an emergency, and with public authorities where required by law. Service providers such as our email and website hosts act as processors under written agreements. Where any transfer outside the European Economic Area occurs, it is protected by an adequacy decision or standard contractual clauses.

6. Retention

Membership records are retained for the duration of membership and for as long afterwards as required by Cyprus accounting, insurance and limitation rules. Financial records are retained for the statutory accounting period. Photography consents and media are retained until consent is withdrawn. Contact form correspondence is retained for up to 24 months.

7. Your Rights

You have the right of access, rectification, erasure, restriction, data portability, objection, and the right to withdraw consent at any time without affecting prior lawful processing. Exercise any right by writing to info@AgiaZoniTaekwondo.org. We respond within one month. You also have the right to lodge a complaint with the Office of the Commissioner for Personal Data Protection in Cyprus.

8. Children's Data

Most of our members are minors. Enrolment of a person under 18 requires the written consent of a parent or legal guardian, who may exercise the rights above on the child's behalf. We collect only the minimum data necessary for safe participation.

9. Security

Records are kept in access-controlled systems and locked storage at our registered headquarters. Access is limited to the officers who require it — principally the General Secretary and Treasurer — and all volunteers are bound by confidentiality and safeguarding obligations.

10. Cookies

This website uses only the strictly necessary technical storage required to serve pages. It does not use advertising cookies or third-party tracking profiles. Any future use of analytics will be introduced only with prior consent.
